About this role

We are seeking a highly organized and detail-oriented Project Coordinator to support our design teams in executing residential interior design projects from concept through completion. Active project volume typically ranges from 15 to 30, with varying levels of complexity and workload across each. This individual will serve as the operational backbone of each project—ensuring timelines are met, communications flow smoothly, and logistics are managed with precision. Principal Duties and Responsibilities/ Knowledge Assist with project planning, including timeline development, deliverables tracking, and meeting scheduling. Maintain and update project schedules and budgets in collaboration with design leads. Coordinate with design teams and procurement specialist to ensure project milestones are achieved on time. Assist design teams in requesting finishes, samples and materials as needed for each project. Request and compile pricing from vendors, showrooms, and manufacturers. Track and update pricing information to ensure accuracy across budgets and proposals. Prepare pricing documentation for client presentations and internal records. Coordinate with vendors to obtain lead times, freight estimates, and product specifications. Maintain organized records of quotes, samples, and material specifications. Maintain organized and up-to-date project files, including design presentations, finish schedules, and vendor quotes. Facilitate internal and client-facing meeting agendas, notes, and follow-ups. Communicate with clients and vendors in a professional, timely, and clear manner, including preparing and distributing meeting agendas in advance, documenting meeting notes, and providing clear and concise follow-up summaries to ensure alignment and next steps are understood. Provide back-up coverage for other admin team members. Education Bachelor’s degree or 4+ years of relevant work experience. Experience 2+ years of experience in a similar project coordination or administrative role, ideally within an interior design or architecture firm. Skills Proven ability to manage multiple projects simultaneously while meeting deadlines and maintaining attention to detail. Strong scheduling, planning, and time management skills. Demonstrated critical thinking, resourcefulness, and a proactive approach to identifying and solving project challenges. Excellent interpersonal, verbal, and written communication skills. Strong follow-up skills and ability to collaborate effectively across teams, with clients, and with vendors. Self-motivated and capable of working independently. Takes ownership of tasks and drives results with minimal supervision. Proficient in Microsoft Office Suite, Studio Designer, Monday.com, and other relevant tools. Professional demeanor with a client-first mindset. Strong commitment to providing excellent customer service and supporting a positive client experience. Highly detail-oriented with strong organizational systems, ensuring accuracy in pricing, documentation, and logistics. Physical Demand Ability to sit for extended periods of time at a computer workstation. Ability to perform repetitive motions using a computer keyboard. Must be able to lift up to 15 pounds at times.
