We are seeking a highly organized, proactive, and polished Executive Assistant & Showroom Coordinator to support our Vice President and help keep daily operations, vendor communication, and showroom management running seamlessly. This role is ideal for someone who thrives on organization, loves creating order in a fast-paced environment, and enjoys being the steady point of coordination in a high-end design/build business. Position Overview The Executive Assistant & Showroom Coordinator will serve as the right-hand support to company leadership while also acting as the primary steward of our showroom space and vendor relationships. This person will help ensure: • Key tasks are tracked and completed • Vendor communication is consistent and professional • The showroom remains organized, beautiful, and client-ready • Leadership stays focused on meetings and high-level priorities without details being missed Key Responsibilities Executive & Administrative Support • Manage daily task tracking and follow-up to ensure nothing is forgotten or delayed • Assist leadership with scheduling, reminders, and meeting preparation • Take notes during meetings when needed and create clear action-item lists • Help organize priorities across multiple active projects • Provide general administrative support as the needs of the business evolve Showroom & Office Coordination • Maintain an organized, polished, and welcoming showroom environment • Ensure samples, materials, and displays are properly stored and updated • Support client meetings by preparing the space and needed materials • Keep supplies stocked and the showroom functioning smoothly day-to-day • Establish and maintain strong relationships with vendors, trades, and suppliers • Coordinate ordering, tracking, and follow-up on materials and selections • Maintain vendor contact lists, pricing references, and showroom accounts • Communicate professionally with outside partners to support project flow Operational Accountability • Act as the “catch-all” for loose ends: tracking details, deadlines, and deliverables • Help ensure leadership is supported with systems that prevent things from slipping • Create structure and organization in a role that touches many moving parts Ideal Candidate The ideal candidate is: • Exceptionally organized and detail-oriented • Proactive — sees what needs to be done before being asked • Comfortable communicating with vendors and clients in a polished manner • Calm under pressure and thrives in a fast-paced environment • Passionate about luxury design, organization, and creating beautiful spaces Qualifications • Strong communication skills (written and verbal) • High proficiency with email, calendars, and task management tools • Professional presence and excellent follow-through Why Join KM BUILDERS? • Work closely with leadership in a growing luxury remodeling firm • Be part of a high-trust, high-standard team culture • Play a key role in keeping projects and operations running smoothly • Opportunity for growth as the company expands To Apply Please send your resume and a short note about why you would be a great fit for this role to:
