As we enter our next chapter of growth, we are seeking a highly organized, detail-driven professional to serve as our Procurement & Design Operations Coordinator. This is a pivotal operational role within our studio. The right candidate will oversee the full lifecycle of product procurement while supporting design operations from presentation through installation. This role reports directly to the Operations Director and works in close collaboration with the Project Manager and design team. Position Overview: The Procurement & Design Operations Coordinator manages all purchasing, order tracking, vendor coordination, and installation logistics for the firm. In addition, this role supports purchasing forecasts and prepares polished client presentation materials under the direction of the Project Manager. This is a full-time hybrid position with 4 in-office days per week. Increased in-office presence is required during active installation periods. Key Responsibilities: Procurement & Order Management • Create and issue all purchase orders with complete accuracy • Verify pricing, freight, specifications, and lead times prior to placement • Review vendor acknowledgements and resolve discrepancies in writing • Track all orders from confirmation through final delivery • Maintain precise records within Studio and related systems • Monitor production timelines and proactively communicate updates • Obtain freight quotes and coordinate shipping logistics • Manage COM fabric, CFAs, lot and bolt tracking • Negotiate pricing on larger or aggregated orders • Coordinate deposits and balance payments with Operations • Perform cross-check audits between RFQs, proposals, space plans, and orders • Maintain organized digital documentation of invoices and confirmations Vendor Management • Maintain up-to-date vendor records and contacts • Establish new vendor accounts and maintain tax-exempt documentation • Schedule vendor presentations and in-studio appointments • Serve as primary point of contact for order-related vendor communication Budget & Forecasting Support • Support the Project Manager in purchasing forecasts • Track committed spend versus approved budgets • Flag variances promptly • Assist in protecting project margins Design Presentation Support • Prepare polished client selection sheets within the firm’s PowerPoint template • Insert images, specifications, and pricing accurately • Ensure presentation materials meet brand standards • Work under direction of the Project Manager to finalize presentation decks Delivery & Installation Support • Attend project installations • Assist with unloading, staging, and organizing product • Document damages and coordinate replacements • Manage RTVs and follow-through • Coordinate with receivers and logistics partners • Obtain Certificates of Insurance as required • Provide timely status updates to the team Qualifications • 3–7 years experience in procurement, operations, or interior design purchasing • Residential interior design experience strongly preferred • Exceptional attention to detail and follow-through • Strong written and verbal communication skills • Proficiency in Microsoft Office (Word, Excel, Outlook and PowerPoint) • Familiarity with Studio Designer a plus • Comfort working within procurement or project management software • Financial literacy and comfort reviewing pricing and budgets • Professional, emotionally mature, and solutions-oriented • Ability to balance focused desk work with active installation days Compensation & Benefits Salary range: $82,000 – $92,000 annually, commensurate with experience Benefits include: • Health insurance contribution (50 percent employee coverage) & 401K • Paid time off • Performance-based bonus potential • Hybrid work flexibility once established in role We are seeking a steady, accountable professional who values precision, teamwork, and high standards, and who is excited to contribute meaningfully to a growing luxury design firm.
