About this role

Overview Interior Design Procurement Specialist TMS Architects & Interiors is a design-forward firm specializing in high-end residential architecture and interior design across New Hampshire and New England. We are seeking a highly organized and proactive Procurement Coordinator to support our Interior Design team by managing FF&E purchasing, vendor communications, delivery logistics, and maintaining our design library. This is not a design role but a critical administrative and operational position that ensures design concepts are executed seamlessly. The ideal candidate is detail-driven, solutions-oriented, and thrives in a collaborative studio environment. This position combines your business mentality with your design attitude. Key Responsibilities • Procurement & Logistics Coordination: Place and track orders for furnishings, fixtures, and materials based on project specifications and timelines. • Vendor Management: Liaise with vendors from quote requests through delivery, managing order confirmations, ETAs, and resolving delays or discrepancies. • Delivery & Schedule Coordination: Coordinate deliveries, installations, and schedule updates with vendors, warehouses, and internal team members. • Record Keeping: Maintain accurate and up-to-date procurement records in Studio Designer. • Financial Processes: Process purchase orders, proposals, invoices, and payments. • Claims & Returns: File and manage damage claims, returns, or warranty issues. • Communication: Communicate effectively with vendors, clients, and internal accounting regarding all order-related matters. Administrative Support • Provide administrative assistance to the Interior Design team across multiple projects. • Generate detailed expediting reports and monitor procurement milestones. • Serve as a key point of contact for scheduling installations and managing vendor/client communications. • Maintain inventory and product tracking systems. • Support design team during furniture installations, photo shoots, and project wrap-up. • Manage the design library: organize samples, maintain vendor catalogs, and facilitate new product presentations. • Assist with product sourcing and add items to design software for proposals and presentations. • Occasionally help with visual presentations using InDesign or other studio software tools. Ideal Candidate Qualities • Strong organizational and time management skills; able to juggle multiple priorities across projects. • Clear, professional communication both written and verbal with strong attention to detail. • Proactive, reliable, and capable of independently resolving issues while collaborating with a team. • Enthusiastic about supporting design outcomes through smooth behind-the-scenes operations. Job Requirements • Bachelor’s degree or higher. • 1–2 years of experience in procurement, billing, administration, or logistics—ideally within an interior design, architecture, or related industry. • Familiarity with the purchasing and expediting process. • Working knowledge of invoicing, margins, and vendor coordination. • Professional presence, with the ability to represent the firm to clients and vendors. • Reliable daily transportation to our Portsmouth, NH office. Software Skills • Required: Microsoft Office Suite (Word, Excel, Outlook). • Preferred / Bonus Experience: Design Smart, Quick Books, Revit. Employment Details • Seniority level: Entry level • Employment type: Full-time • Job function: Design, Art/Creative, and Information Technology • Industry: Architecture and Planning Inquiries: Please email your resume, cover letter, and digital portfolio to #J-18808-Ljbffr
