General Description:
We are a small, busy award-winning interior design firm, located near downtown Santa Fe, specializing primarily in kitchen and bath remodeling, and full house design materials specifying for new construction. We are looking for a professional who can both administer the office and make building materials and related job purchases, tracking them from order through to delivery. This is a critical design support job. Those who have familiarity with design, cabinetry, construction or remodeling are given first consideration. We will train regarding the specifics you do not have experience with. Interacts closely with owner. We have periods of high activity and production, and lulls where we do projects for marketing, organization or refining processes.
We’re looking for a mature individual with a variety of experience who handles the periods of stress and high activity typical during construction and remodeling projects, as well as maintains accuracy during more repetitive tasks. Self-motivation to stay organized with many details, take initiative, and ask questions before they become problems.

▪ Soft skills to communicate news, good and bad, to clients and contractors regarding orders, deliveries and schedules, particularly with current supply chain issues; and create good working relationships with vendors and contractors.
▪ Have a good sense of humor when it’s needed.
▪ Have the entrepreneurial spirit needed in a small business.
Helpful skills:
▪ Computer skills in email, word processing, Excel spreadsheets.
▪ Aptitude to be able to be trained in Quick Books “light” for sending estimates and converting into invoices, checking on payments received, A/P and A/R reports.
▪ Comfortable with file sharing in Google Drive, MS One Drive, or a similar utility.
▪ Spelling and writing skills.
▪ Social media skills and interest are secondary but helpful.
▪ Knowledge in AutoCad or 20/20 software

Responsibilities:
In general, follow procedures for purchasing and tracking a variety of finish materials and cabinetry, and office management. Help to continuously refine that process.
▪ Gather estimates for specific products for a project; Tabulate pricing for client estimate and review with owner before sending to client from Quick Books.
▪ Turn approved estimates into Quick Book invoices and send to client via email
▪ Use Quick Books to see client payments made online. Check daily until paid.
▪ After client payment place orders to vendors by email using vendor estimates and invoices
▪ Collect and track paid invoices to vendors.
▪ Precise record keeping of order tracking in current or continually improving system.
▪ Vendor orders communication by email or phone
▪ Learn cabinetry line and how to check detailed cabinetry parts lists. Work with kitchen designer as needed.
▪ Correspond with cabinetry rep or factory, tracking Job Quotes in manufacturer’s system.
▪ Track cabinetry Payment and Schedule Acknowledgements to us by factory.
▪ Schedule delivery company to receive and deliver cabinetry to jobsite.
▪ Update mailing list and current online media quarterly.
▪ Get new product information as needed and help keep samples in library in order.
▪ Organize and manage showroom display.
▪ Complete timesheet daily, per client work
▪ Maintain supplies, order and pick up as needed.
▪ Troubleshoot issues.
▪ Learn to create color and materials presentation boards online with Canva.
▪ Use an online tool for task delegation and follow-up. Asana or similar.
▪ Simple drawings of tile layouts.
Salary: $25/hour DOE
Hours: 25-30/week M-F. Can grow to full time depending on volume of business.
Schedule: flexible, to be determined
Job Type: Part-time
Pay: $39,845.00 - $41,731.00 per year
Expected hours: 20 – 30 per week
