About this role

We are small group of passionate interior designers looks for the right person to pull us together as a team organizationally. The right person is a good collaborator, a talented coordinator and a generalist able to wear many hats (and hopefully enjoy it!) The position is offered as full time and in-person. Summary Oversees the daily operations of the office and its various administrative areas, working directly with the Principal to develop and maintain the company as needed for a profitable and fulfilling experience. Essential Duties and Responsibilities \\- Leads the staff in the running of the office in all administrative areas \\- Enters specifications, expenses and other items into the Design Manager program \\- Supports the design staff with purchasing FF&E; \\- Prepares and sends client invoices for time and product \\- Handles AR & AP, assuring all bills are paid and client invoices collected in a timely fashion \\- Manages company credit cards: tracking, payments, and other related tasks \\- Makes bank deposits, processes payments \\- Creates, issues and coordinates monthly time billing for all staff and clients \\- Operates and manages filing and organization \\- Coordinates with outside IT support for whole office \\- Provide executive assistance to the Principal to manage schedule, travel and other business \\- Manages the facility, liaising with property management for office maintenance, issues, parking, and other issues \\- On-boards new employees: sets up employee email, payroll, key, key code, etc. \\- Works with outside bookkeeper and consultant to run and Improve administrative systems and programs \\- Assists in rolling out procedures to the team and/or implementing procedures needed \\- Handles other regular studio related tasks and errands \\- Manages client and NVD inventory with corresponding storage facilities; including all scheduling of shipping/receiving, billing, and installation schedules Requirements: \\- Bachelor’s degree \\- 5+ years professional administrative coordination/management \\- Understanding of the Interior Design Industry and the to-the-trade purchasing environment \\- Excellent written and verbal skills \\- Understanding of basic accounting principles \\- Acumen with numbers \\- High proficiency in Microsoft Office Suite, especially Excel \\- Proficiency with Design Manager Program \\- Ability to prioritize and manage work while wearing many hats \\- Strong sense of ownership and commitment to excellence
