About this role

Overview The Design Assistant/Administrative Assistant is a critical support role within our interior design firm. You will help manage client projects, coordinate schedules, handle administrative tasks, and support the lead designer in delivering an exceptional client experience. This position requires a proactive, detail-oriented individual with a passion for design and a commitment to excellence. Accountabilities • Anticipate client needs, solve problems, and ensure a seamless experience from consultation to project completion • Respond to client emails and calls professionally and promptly • Assist in scheduling client meetings, site visits, and vendor appointments • Maintain and update project information in studio management software (e.g., Ivy, DesignFiles, Studio Designer) • Organize samples, mood boards, and presentation materials for client meetings • Prepare and coordinate documents for design presentations and installations • Follow up on client feedback and action items post-meetings • Communicate with vendors, showrooms, and contractors to manage lead times, product info, and order statuses • Support project timelines and assist in tracking design deliverables • Collaborate with the lead designer in organizing product orders, invoicing, and delivery logistics • Provide concierge-level service to clients, ensuring every touchpoint is thoughtful and detail-oriented • Perform administrative duties such as scanning, filing, organizing the materials library, and general office support Duties • Source materials, furniture, and finishes for presentations • Organize and label material samples and product catalogs • Track product orders and create installation checklists • Assist in preparing client proposals and purchase orders • Help coordinate delivery logistics and install schedules • Liaise with contractors and tradespeople as needed • Maintain digital and physical design libraries • Support photography and social media efforts with project documentation Experience • Studio Designer, Ivy, or similar design project software – preferred but not required • Proficient with Microsoft Outlook, Word, Excel, and Adobe Creative Suite (Photoshop, InDesign, Acrobat) • Strong organizational and multitasking skills • Strong visual communication skills and design sensibility • Ability to take initiative and work independently • Excellent written and verbal communication skills • High attention to detail and strong problem-solving abilities Attributes • Maintains a positive, team-oriented attitude • Eager to learn and adapt to new tools and processes • Shares ideas and offers feedback to improve studio systems • Owns mistakes and works quickly to resolve them • Prioritizes client satisfaction and quality service • Stays current on design trends, materials, and vendor offerings Join us as a Design Assistant and take the next step in your career while contributing to exciting projects that inspire creativity!
