Aleksandra Nova Design is a boutique luxury interior design firm based in Chicago and expanding to Miami We focus on large-scale new construction, as well as remodeling and full-scope furnishing projects. we are seeking for a project manager to join our small but mighty team to grow with us as the company is expanding into further horizons. Job Description... We are seeking a talented and experienced Project Manager & Procurement Specialist to join our dynamic team. This role will play a crucial part in overseeing procurement activities, project management tasks, and bookkeeping responsibilities to ensure the smooth execution of our projects and the satisfaction of our clients. Responsibilities: • Obtain quotes from vendors for materials, products, and services required for projects. • Place orders with vendors and manage the procurement process from start to finish. • Manage deliveries and coordinate logistics to ensure timely receipt of materials and products. • Effectively manage relationships with vendors, negotiating terms and resolving any issues that may arise. • Schedule deliveries and installations, coordinating with vendors and subcontractors as necessary. • Conduct research on materials, products, and vendors to enhance project offerings and stay updated on industry trends. • Schedule and conduct vendor meetings, attending onsite meetings as needed. • Issue quotes to clients and prepare purchase orders for approved items. • Generate and issue invoices to clients, ensuring accuracy and timeliness. • Process payments to vendors and manage accounts payable. • Assist in value engineering efforts to optimize project costs without sacrificing quality. • Manage subcontractors during project execution, ensuring adherence to project timelines and quality standards. • Reach out to new vendors to expand our network and source innovative products. • Manage accounts, including client and vendor account management. • Prepare presentations for client meetings and design reviews. • Maintain inventory lists for materials and products, ensuring accurate stock levels. • Maintain a comprehensive sample library for use in client presentations and design inspiration. • Work closely with the design team to keep projects on budget and within financial constraints. Requirements: • Proven experience in project management, procurement, and bookkeeping, preferably in the interior design or related industry. • Strong organizational skills with the ability to manage multiple projects simultaneously. • Excellent attention to detail and accuracy in procurement and bookkeeping tasks. • Proficiency in Microsoft Office Suite and project management software. • Exceptional communication and interpersonal skills, with the ability to build and maintain relationships with clients, vendors, and contractors. • Knowledge of procurement processes, vendor management, and accounting principles. • Ability to work independently and collaboratively in a fast-paced environment. • Bachelor's degree in business administration, interior design, project management, or related field preferred. • Must have a car and valid drivers license.
