We are currently seeking a highly organized and detail-oriented Procurement and Service Specialist, with at least 3-5 years of experience in a similar position... To familiarize yourself with our studio, please visit our website: thejonathans.com and our Instagram @designbythejonathans ROLE & RESPONSIBILITIES The Procurement and Service Specialist position supports the studio’s daily operating needs, handling billing and procurement, and providing post-purchase tracking and client support, helping to ensure efficient operations amongst quickly shifting priorities and goals. Quick problem-solving and time management skills will help you to thrive in this atmosphere. This position manages the full life cycle of purchasing for our firm, including proposals, purchase orders, expedient and delivery coordination, and post-design client interactions. • Responsible for payables and receivables. • Create, process and submit purchase orders and vendor payments. • Manage all payment processing and associated accounting as needed and in coordination with the bookkeeper. • Receive and manage procurement funds. • Coordinate with all vendors, freight lines, and receivers to ensure client orders are arriving on time and intact. • Coordinate and schedule shipments, deliveries, and installations in collaboration with designers and contractors. • Correspondence with logistics and furniture claims. • Responsible for updating designers on their open orders. • Manage project reconciliations. • Invoice clients on an as-needed basis to assist the design team. • Assist and support bookkeeper with open items and other office/financial coordination. • Maintain a highly organized and efficient record system in collaboration with financial and design team. • Maintain and manage a highly organized and efficient procurement system. • Client/vendor set up: w-9’s, insurance, resale, etc. • Answer and screen calls as needed (not primary), receive mail and deliveries. • Monitor and maintain office supplies, subscriptions and affiliations. • Set up vendor lunch and learn meetings. • Attend weekly client review meetings with each designer and develop task list based on takeaways • Attend weekly staff meetings. REQUIREMENTS • Proficient in Microsoft Word, Excel, Ivy/Houzz Pro and online Quickbooks. • Accounting experience in the Interior Design field/industry. • Excellent time management skills. • Organized and has attention to detail. • Excellent communication skills. • Reliable – committed to the job. • Self-driven and comfortable working independently. • Reliable transportation.
