Job Title: Personal Assistant to Principal Interior Designer Location: Kennebunk, ME... Are you a highly motivated, exceptionally organized, and personable individual eager to grow within the dynamic field of interior design? We are seeking a proactive Personal Assistant to join Duquette and Company's creative team. As the Personal Assistant to our Principal Interior Designer, you will play a crucial role in ensuring smooth operations, managing administrative tasks, and supporting the designer in delivering exceptional design projects. Responsibilities: 1. Administrative Support: Handle scheduling, calendar management, and correspondence. Coordinate meetings, appointments, and travel arrangements. 2. Client Communication: Communicate with clients to schedule meetings, gather information, and provide updates on project status. Maintain positive client relationships. 3. Organization and Filing: Maintain organized files for projects and client information. Keep the designer's workspace and materials well-organized. 4. Design Project Installations: Assist in design project installations, including helping with moving and assembling products. 5. Logistics Coordination: Coordinate logistics for design presentations and client meetings. 6. Office Logistics: Receive and inspect packages, restock office supplies, and maintain the organization of the design room. 7. Errand Running: Occasionally run errands for the company as needed. 8. Travel to Job Sites: Some travel to job sites may be required. Travel expenses will be paid for by the company. Work Schedule: - 100% in-person attendance required. - M/T/TH , 24 hrs/wk, 9:00 AM to 5:00 PM. - Some additional hours/days may be required, depending on business needs. Additional hours will be agreed to with employee Pay: While we have advertised a pay range, pay will be scaled according to experience and fit. Preferred Start Date: August 1st. Qualifications: - Previous experience as a personal assistant or in a similar role. - Strong organizational and multitasking skills. - Excellent communication and interpersonal skills. - Proficiency in Microsoft Office suite, including Word, Excel, and PowerPoint. - Familiarity with Google Drive and Google Docs. - Passion for interior design and a keen eye for aesthetics. - Ability to work independently and proactively solve problems. - Fast and accurate typing skills. - Must be able to lift at least 30 lbs. Education: - Bachelor's degree in a relevant field (e.g., business, design, communications) is preferred. Ideal Candidate: - Highly motivated, organized, personable, and eager to grow within the field and the company over time. - Friendly and able to create a "client-first" atmosphere. - Managerial experience and experience with projects that require long term planning - Someone who isn’t afraid to get their hands dirty and can build rapport with contractors, but also is comfortable working with, and reading the room around, high end clientele Interpersonal Skills: This job requires interfacing with many different personality types and industry professionals. The ideal candidate will be comfortable with interpersonal interactions, with communications including but not limited to: phone calls, emails, text, walk-ins, and site visits.
