Operations Specialist Julie Kay Design Studio (JKDS) Colorado Springs, CO | Full-Time | In-Person About Us Julie Kay Design Studio is a full-service interior design firm and boutique retail studio based in Colorado Springs. We specialize in creating elevated, highly personalized homes through thoughtful design, detailed execution, and a seamless client experience from concept through installation. As we continue to grow and prepare for a move to a downtown location, we are looking for an Operations Specialist to support and elevate the day-to-day operations of the studio. The Role: This is a key, hands-on role responsible for supporting the operational backbone of the business. You will work closely with the owner and design team to ensure projects run smoothly, systems stay organized, and the client experience is seamless. This role requires strong attention to detail, initiative, and the ability to manage multiple moving pieces at once. This is an ideal position for someone who thrives in a fast-paced, design-driven environment and enjoys bringing structure, organization, and follow-through to a growing business. This role has the potential to grow into an Operations Manager position over time. Key Responsibilities: Studio & Team Operations Support daily operations of the design studio and retail shop Maintain organization across systems, workflows, and internal processes Assist with scheduling, task management, and team coordination Help ensure nothing falls through the cracks across active projects Project & Procurement Support Track project timelines, deliverables, and key milestones Assist with procurement including ordering, tracking, receiving, and delivery coordination Ensure all items are properly logged, inspected, and documented in Houzz Pro Coordinate with vendors, receivers, and delivery teams Client Experience Support a high-touch, professional client experience Assist with client communication and follow-ups Help problem-solve and keep projects moving forward Financial & Administrative Support Assist with invoicing, payments, and tracking outstanding balances Support time tracking and internal reporting within QuickBooks Help maintain organization across project documentation and financial records Who You Are: In addition to experience and capability, the ideal candidate embodies the following: Friendly, outgoing, and self-motivated Proactive with a strong initiative to take on tasks without being asked Reliable and hardworking, with a strong work ethic Resourceful, efficient, and flexible An exceptional communicator, both written and verbal Highly organized with strong time and task management skills Able to work effectively without constant or direct supervision Client-focused, with outstanding customer service skills Conscientious, with strong follow-through and sound judgment Accountable, responsive, and committed to meeting deadlines Experienced in coordinating multiple moving parts and managing competing priorities You’ll Thrive in This Role If… You take pride in bringing order and clarity to busy, fast-moving environments You enjoy staying organized and keeping others organized as well You naturally take initiative and like to stay one step ahead You find satisfaction in supporting a team and helping projects run smoothly You are obsessed with details but can also see the big picture You enjoy problem-solving and being a reliable go-to person You like being in supportive, respectful, collaborative, and creative environments You are looking for a role where you can grow within a company over time This Role Is Not for You If… You prefer highly structured environments where tasks are always clearly assigned You wait to be told what to do rather than taking initiative You struggle managing multiple priorities or shifting timelines You have difficulty with follow-through or attention to detail You prefer working independently without accountability to a team or clients You are uncomfortable communicating proactively with clients or vendors You are looking for a slower-paced role with minimal responsibility Qualifications 2–5+ years in operations, administrative, or project coordination role Experience in interior design, construction, retail, or service-based business preferred but not required Strong organizational and communication skills Familiarity with project management or invoicing systems, and QuickBooks Compensation & Benefits Full-time hourly or salaried position (based on experience) Competitive compensation Opportunities for growth within a growing design studio Employee discounts on retail products Flexible PTO and supportive team culture Why This Role Matters This role plays an essential part in supporting the success of the studio.
