About Kardinia: Kardinia Interior Design is a boutique, high-touch residential design firm based in Winter Park, Florida. Our philosophy centers on creating homes that are timeless, intentional, and deeply personal. As we continue to grow, we are seeking an Operations Director who will strengthen the foundation of our workflows, elevate the client experience, and support our creative team in delivering exceptional design.
Overview: The Operations Director plays a critical role in supporting the Creative Director and design team by overseeing the operational and organizational functions of all residential interior design projects. This position ensures that projects move forward smoothly, efficiently, and with exceptional attention to detail. The ideal candidate will excel at following through on every detail and creating order within the many moving parts of each project. This individual will serve as a central hub of communication - liaising with vendors, clients, designers, and subcontractors to ensure that all parties have accurate, up-to-date information at all times. Beyond day-to-day operations, the Operations Director will take initiative to refine and elevate Kardinia's internal systems, workflows, and processes, continually enhancing how the team delivers its high-touch, full-service experience. A successful candidate is proactive, highly organized, solutions-oriented, and passionate about supporting a creative team through operational excellence.
Key Responsibilities:
●Develops, documents, and maintains Kardinia's internal processes, procedures, and workflows to support efficiency, consistency, and scalability.
● Identifies areas for operational improvement and implements best practices to elevate the client experience and streamline team execution.
● Partners closely with the Creative Director to uphold and advance Kardinia's vision, mission, and brand standards across all operations.
● Oversees the operational lifecycle of all client projects from inception through installation and closeout.
• Serves as the primary point of contact for clients during the construction phase, communicating project timelines, budgets, and expectations clearly and consistently.
● Tracks project milestones, deadlines, and deliverables, ensuring all team members, vendors, and subcontractors remain aligned.
• Manages all project-related correspondence and documentation to maintain accuracy and organization across teams.
● Prepares and sends proposals, addendums, agreements, and assists in the client onboarding process to ensure a seamless transition into the Kardinia experience.
● Documents detailed project scope and distributes to the general contractor for estimate preparation.
Qualifications
● Have a passion for interior design and be creative and forward thinking
• Be committed to our core values
• 3+ years of experience in operations, project management, or client services (design, architecture, or creative agency experience a plus)
● Exceptional communication and organizational skills with the ability to track large amounts of information across multiple projects.
● High level of professionalism, and attention to detail
• Ability to anticipate needs and solve problems quickly in a fast-paced, boutique environment
• Familiarity with the interior design process, construction terminology, and project timelines (a plus)
• Proficiency with Houzz Pro and Quickbooks (a plus)
Job Type: Full-time
Pay: $60,000.00 - $70,000.00 per year
