Shannon Scott Design is an ethical and sustainably focused interior design,
build, and project management studio based in Santa Barbara, California. We
create beautiful, luxury residential and hospitality interiors for a host of
clients and are expanding rapidly. We are looking for an individual who aligns
with our values, along with our commitment to creating beautiful, well thought
out spaces, to join our dynamic team. This is an outstanding opportunity for
an exceptional Office & Procurement Administrator who wants a long-term
position with an evolving studio and brand. This role must be filled by
someone who can quickly train and take on the responsibilities, for this
reason we are asking for candidates with 3 years plus of experience preferably
in the interior design, architecture, or construction field in the areas
listed below: KEY ROLES & RESPONSIBILITIES • General office roles and
responsibilities such as answering phones, taking messages, email
correspondences, opening and closing the studio, and maintaining office
supplies. • Vendor payments, tracking orders, and arranging deliveries, as
well as coordinating quotes and estimates – keeping detailed notes and
spreadsheets. • Vendor W9 and insurance management, keeping Bookkeeper updated
with these documents for tax and audit filing purposes. • Client billing and
payment tracking, as well as assisting with client budgets – this will include
corresponding with clients and following up on late payments. • Maintaining
and establishing office administration procedures. • Record keeping of both
physical and digital files. • New client onboarding process. The right team
member for this role will need to be outgoing and well organized, it is
essential our new clients feel confident with our team right away. As part of
our successful team, you must be comfortable wearing many hats and perform in
several roles simultaneously. You must be able to work well independently and
possess a strong ability to self-manage, self-start, and think out of the box.
ATTRIBUTES & SKILLS • Positive attitude, friendly and outgoing, strong people
skills, and a genuine desire to help others – this role interacts directly
with all studio visitors, inquiries, and vendors. • Expertise and accuracy
working with numbers and financial information. You will track data, budgets,
and have spreadsheets to update. • Quick problem-solving skills, and a
proactive mindset to get ahead of issues. • Detail orientated; careful
attention to detail is critical in this role. • Excellent written and verbal
communication skills • Microsoft Suite: Word and Excel a must – full suite
preferred. • Must have your own transportation, valid driver’s license, and
insurance; bank deposits and errands are part of this role. • Help to refine
and manage office procedures and policies • Must be able to carry boxes or
packages up to 25 pounds. COMPENSATION Salary range: 56K-66K per year, based
