About this role

Job description: A high-end boutique residential interior design firm in the Austin Metro area is seeking an exceptional Office Manager to coordinate client services and procurement of merchandise. This is a 1099 role and thrives in a fast-paced environment. The work will require 15-30 hours per week. The in-office tasks will require a minimum of 2 days per week. This is the perfect position for someone who is super-efficient, great at following up, creating great relationships, juggling multiple tasks at once and is inherently responsible. Though this role will enjoy being in the purchasing of prod, it is not a designer role. This is best suited for someone who loves operations, details and coordinating a complex web of moving parts. The candidate who will fit best with our company culture is methodical and detailed, personable, great at following up, skilled at creating and cultivating healthy relationships, has experience with bookkeeping, is tech savvy, is well-versed at juggling multiple tasks simultaneously, is proactive, has a high level of emotional intelligence, and is inherently responsible. Requirements Include: · 3-5 years experience as a office manager or administrative lead for a fast paced office. · Proficiency in bookkeeping · Experience working with luxury level clientele · Refined personal presence · impeccable grammar, phone presence and communication style · Experience working in the interior design industry a plus · 2-5 years coordinating schedules and vendors · 2-5 years product purchasing experience · Experience providing sophisticated luxury level client care · Proficiency in Studio Designer and Design Files a plus · Extremely organized and methodical · Excellent verbal and written communication skills · Exceptional references · Proficient in Apple / Mac office and accurate data entry, typing, spreadsheets and other administrative software · Must have personal stability and demonstrate high levels of emotional intelligence · Must have a mature, pleasant and professional demeanor and represent our luxury brand well · Must have a fluid communication style and work confidently with design staff, luxury clientele, and vendors · Must be exceptionally driven and responsible regarding all aspects of your work · Must be able to demonstrate a history of exquisite follow through skills · Must have familiarity with 5 star experiences · Must live within 30 minutes of Austin Metro · Must have reliable transportation and requirements needed to travel to and from job sites Responsibilities Include: · Coordinate and assemble client and VIP gifting · All office and CEO scheduling · Maintain office organization and upkeep · Maintain and upkeep all administrative systems · Schedule and coordinate project installations · On board new clients · Process and enter payments into Studio Designer · Office bookkeeping, A/R, A/P and reconciliation in Studio Designer · Set up client meetings and presentations · Check details for accuracy on specifications and order · Place all merchandise orders · Track all orders and update Studio Designer as needed · Coordinate and be on site during installation days · Report directly to CEO · Update Studio Designer with necessary updates · Update Master Task List · All office filing · Errands and general CEO assistance This award winning Interior Design firm offers a pleasant working environment in a beautiful office with a fun and dedicated team.
