About this role

Job Overview We are seeking a motivated and detail-oriented Design Assistant to join our creative team. This role will support both the design and administrative functions within our firm, assisting with project coordination, client communication, product management, and general office duties. Key Responsibilities: Design & Product Management: • Contact vendors for new product samples and collections. • Schedule and attend meetings with product reps, sales teams, and vendors to stay updated on new lines and industry trends. • Create and maintain client binders and project folders. • Update and manage client and vendor information in the database. • Assist with product presentations, selection processes, and client recommendations. • Create space plans, furniture layouts, and draft 3-D models or renderings. • Produce detailed CAD drawings and support the design team with technical needs. Client Services & Project Coordination: • Research products and communicate key details such as pricing, availability, and lead times to clients and lead designers. • Create project budget documents and timelines for internal and client record-keeping. • Communicate with clients regarding project installation schedules and move-in dates. • Coordinate with tradespeople, custom furniture makers, and artists to ensure seamless execution of custom orders. • Oversee and schedule installations, coordinating with installers, movers, and labor. Sales & Purchase Order Management: • Communicate directly with clients to process orders for fabrics, furniture, flooring, lighting, and other products. • Initiate purchase orders with accuracy and attention to detail. • Review and approve sales order acknowledgments and finalize orders. • Track and update clients on order statuses, arrival dates, and delivery timelines. • Facilitate shipments, manage freight documents, and coordinate transportation logistics. • Handle shipment arrivals, including communication with clients and contractors, and resolve any freight damage claims. • Work with the office manager on client invoicing and finalizing the sales cycle. General Office Support: • Professionally answer phone calls and direct them appropriately. • Organize and file client documents, vendor information, product samples, and incoming/outgoing shipments. • Facilitate payments using company credit card with secure handling. • Contribute to inventory organization. Qualifications: • Proven experience in interior design, design assistance, and project coordination. • Strong organizational skills and ability to manage multiple tasks and deadlines. • Experience in design software such as AutoCAD, SketchUp, or other 3D modeling tools is preferred. • Studio Designer knowledge is preferred. • Strong communication skills with clients, vendors, and team members. • A keen eye for detail and an interest in current design trends and new products.
