About this role

Job Summary The Accounting/Office Assistant supports the Finance and Project Management teams by handling daily accounting tasks related to accounts payable, accounts receivable, and job-specific documentation. This role is essential in ensuring accurate entry of job and vendor data, timely processing of invoices and payments, and maintaining organized records for construction contracts and compliance. Duties • Receive and organize vendor invoices, ensuring proper job and cost code assignment. • Match invoices with purchase orders, delivery tickets, or subcontract agreements. • Enter AP invoices into the accounting system accurately and route for approval. • Assist with check runs and ACH payment preparation. • Maintain up-to-date vendor files, including W-9s, certificates of insurance and lien waivers. • General simple customer invoices based on purchase orders. • Record and apply incoming payments to appropriate jobs and receivables. • Review aged receivables and identify accounts that need attention • Enter new job/project information into the accounting management system. • Review contracts and subcontracts to pull relevant financial and billing terms. • Assist with maintaining job folders, ensuring including of budgets, signed agreements, COIs and change orders. • Assist with month-end closing by preparing summaries or assisting with reconciliation. • Perform basic reporting and data entry tasks to support the accounting team. • Help with general office duties as needed, such as preparing mailings, receiving packages and supply purchases. Qualifications • Associate's degree in Accounting, Finance, or related field preferred. • High school diploma or equivalent required with 1-2 years of relevant accounting experience. • Familiarity with basic accounting principles and job cost accounting concepts. • Experience with Microsoft Excel required. • Proficiency in MS Office required, including Word and Outlook. • Strong written and verbal communications skills with high attention to detail, organizational skills and ability to prioritize tasks.
