Interior Design Project Coordinator & Design Liaison

About Us We are a boutique Interior Design studio specializing in highly detailed residential projects. We are seeking a Project Coordinator & Design Liaison to help keep projects moving smoothly from construction through installation. Position Overview The Project Coordinator & Design Liaison is responsible for maintaining project momentum, coordinating job site activity, managing project follow-through, documenting meetings and site visits, tracking action items, and ensuring that project information moves clearly between the design team, operations team, vendors, contractors, and Principal Designer. This role is not a purely administrative position and is not a design role. It requires someone who can understand drawings, schedules, specifications, procurement status, site conditions, and project priorities well enough to identify problems, coordinate next steps, and support effective project delivery. The Project Coordinator & Design Liason serves as the bridge between the studio and the field. This person owns follow-through, project communication, issue tracking, site documentation, and project readiness. They do not make final design decisions, but they are responsible for understanding the project deeply enough to know when something is missing, incorrect, delayed, unresolved, or at risk. Key Responsibilities Serve as the central source of project knowledge, maintaining a comprehensive understanding of project scope, schedule, design, procurement, and construction activities.Attend site visits and construction meetingsDocument site conditions, meeting notes, and action itemsTrack project milestones and open issues, implement and handle solutionsAct as the primary liaison between design teams, contractors, clients, and vendors to facilitate clear communication and collaborationMaintain project status reports and project dashboardsFollow up on outstanding tasks and project needsAssist with installation coordination and punch listsMonitor project readiness and upcoming milestonesMaintain familiarity with each project’s current phase, upcoming milestones, known risks, open questions, and next steps.Lead client check insHelp identify and resolve project challenges before they impact timelines Qualifications Strong organizational and communication skillsAbility to manage multiple, highly detailed, active projectsComfortable visiting construction sites and interacting with contractorsAbility to read drawings, schedules, and project documentation preferredExperience in project coordination, construction, interior design, architecture, or related fields preferredExperience with Asana, AI organization system or project management softwareDetail-oriented, proactive, and able to manage multiple active projects. The ideal candidate is proactive, detail-oriented, calm under pressure, and comfortable serving as the person who keeps projects moving forward. They are not simply a note-taker; they are accountable for follow-through and execution. This person can walk onto a job site, quickly understand what they are seeing, clearly document issues, and coordinate the necessary next steps. While they do not need to be a designer or make creative decisions, they must be able to understand project information deeply enough to identify when something is missing, unclear, incorrect, delayed, or unresolved. Position Type Part-Time or Full-Time (depending on experience and workload) $28-$35/ hour depending on experience Compensation Based on experience.
