About this role

Company Description Image Design Studio is a growing residential design firm specializing in custom homes, additions, remodeling, permitting, cabinetry, and furnishings throughout the San Francisco Bay Area. We provide a highly personalized design experience and work closely with homeowners, contractors, consultants, and city agencies from concept through construction. We are looking for a highly organized and proactive Design & Project Coordinator to help keep projects moving smoothly behind the scenes. Role Description This role is ideal for someone who enjoys organizing information, coordinating people, solving problems, and keeping multiple projects on track. You do not need to be an interior designer or architect. We are looking for someone who is detail-oriented, dependable, and comfortable managing project information, schedules, and communications. Project Coordination * Maintain project schedules and task trackers * Coordinate project timelines and milestones * Follow up with clients, consultants, contractors, and vendors * Assist with permit application tracking and city correspondence * Schedule meetings, site visits, and project appointments * Prepare meeting notes and action items Administrative Support * Organize project folders and documentation * Maintain project databases and spreadsheets * Assist with proposal preparation and invoicing * Track project budgets, deposits, and outstanding items * Manage sample orders and vendor communications Operations Support * Coordinate deliveries and installations * Assist with procurement tracking * Maintain material library and project samples * Support warehouse and inventory organization as needed Qualifications Required * Excellent organizational skills * Strong attention to detail * Professional written and verbal communication * Comfortable managing multiple priorities * Strong Google Workspace skills * Reliable transportation for occasional local errands and site visits Preferred * Ability to communicate professionally in both English and Mandarin is a strong plus * Experience in interior design, architecture, construction, cabinetry, or real estate * Experience with project coordination or office management * Familiarity with permits and construction processes * Experience with Photoshop and AutoCAD or equivelent softwares Personal Qualities We are looking for someone who: * Loves organizing information * Takes initiative without constant supervision * Follows through on commitments * Communicates clearly and professionally * Enjoys helping a small business grow * Is comfortable wearing multiple hats in a fast-paced environment Compensation * $20–$30 per hour, depending on experience * Flexible schedule * Growth opportunities within the company * Potential transition to full-time position
