We are seeking a highly organized, proactive, and polished Executive Assistant & Showroom Coordinator to support our Vice President and help keep daily operations, vendor communication, and showroom management running seamlessly. This role is ideal for someone who thrives on organization, loves creating order in a fast-paced environment, and enjoys being the steady point of coordination in a high-end design/build business. Position Overview The Executive Assistant & Showroom Coordinator will serve as the right-hand support to company leadership while also acting as the primary steward of our showroom space and vendor relationships. This person will help ensure: Key tasks are tracked and completedVendor communication is consistent and professionalThe showroom remains organized, beautiful, and client-readyLeadership stays focused on meetings and high-level priorities without details being missed Key Responsibilities Executive & Administrative Support Manage daily task tracking and follow-up to ensure nothing is forgotten or delayedAssist leadership with scheduling, reminders, and meeting preparationTake notes during meetings when needed and create clear action-item listsHelp organize priorities across multiple active projectsProvide general administrative support as the needs of the business evolveShowroom & Office Coordination Maintain an organized, polished, and welcoming showroom environmentEnsure samples, materials, and displays are properly stored and updatedSupport client meetings by preparing the space and needed materialsKeep supplies stocked and the showroom functioning smoothly day-to-dayVendor Relationships & Procurement Support Establish and maintain strong relationships with vendors, trades, and suppliersCoordinate ordering, tracking, and follow-up on materials and selectionsMaintain vendor contact lists, pricing references, and showroom accountsCommunicate professionally with outside partners to support project flowOperational Accountability Act as the “catch-all” for loose ends: tracking details, deadlines, and deliverablesHelp ensure leadership is supported with systems that prevent things from slippingCreate structure and organization in a role that touches many moving partsIdeal Candidate The ideal candidate is: Exceptionally organized and detail-orientedProactive — sees what needs to be done before being askedComfortable communicating with vendors and clients in a polished mannerCalm under pressure and thrives in a fast-paced environmentPassionate about luxury design, organization, and creating beautiful spacesQualifications Strong communication skills (written and verbal)High proficiency with email, calendars, and task management toolsProfessional presence and excellent follow-through Why Join KM BUILDERS?
