We are seeking a dependable and detail-oriented Part-Time Administrative Assistant to support our team and help maintain the efficient day-to-day operations of our Design Studio. Role DescriptionThe Administrative Assistant is a part-time, on-site position located in York, Pennsylvania, working approximately 10 hours per week. This position provides administrative support to the President – Director of Design and the Administrative Manager / Bookkeeper / IT Coordinator while assisting with the daily operations of the Design Studio. Responsibilities include managing appointments and schedules, preparing and processing client invoices, organizing and maintaining project files, assisting with correspondence, answering telephone calls, monitoring general email inquiries, maintaining accurate records, ordering office supplies, and providing general office support. The Administrative Assistant will also help maintain an organized, professional, and welcoming studio environment while assisting wherever needed to support the firm's daily operations. ResponsibilitiesManage appointments, meetings, and project schedules.Prepare, process, and distribute client invoices.Assist with tracking invoice payments and maintaining accurate billing records.Organize, maintain, and file digital and physical project documentation.Maintain accurate client records and company files.Answer and direct incoming telephone calls in a professional manner.Monitor and respond to general email inquiries.Assist with preparing correspondence, forms, proposals, agreements, and other company documents.Assist with data entry and recordkeeping.Coordinate incoming and outgoing mail, deliveries, and packages.Order, organize, and maintain office supplies.Maintain an organized, professional, and welcoming office environment.Provide administrative support to the Administrative Manager / Bookkeeper / IT Coordinator.Assist the President – Director of Design with administrative tasks and special projects as assigned.Perform miscellaneous office duties and administrative tasks as needed to support the daily operations of the firm.QualificationsPrevious administrative or office experience preferred.Strong administrative, organizational, and clerical skills.Professional telephone etiquette and excellent written and verbal communication skills.Proficiency in Microsoft Word, Excel, Outlook, Adobe Acrobat, and Microsoft Office applications.Experience with QuickBooks is preferred.Exceptional attention to detail and accuracy.Excellent time management skills with the ability to prioritize multiple responsibilities.Professional, dependable, and client-focused demeanor.Ability to work independently while contributing as part of a collaborative team.Ability to maintain confidentiality and professionalism.High school diploma or equivalent required. Additional education or administrative experience in design, architecture, construction, real estate, or another professional services industry is a plus.Bonus SkillsExperience creating content for business social media platforms is a plus. While not required, this skill may be utilized from time to time to assist with the firm's marketing efforts.
